They show disabled people that they are welcome, and their needs have been considered. This increases the chances they will return to your venue or events. It builds trust in your organisation\u2019s commitment to being accessible and inclusive.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can deliver accessibility best when you consider it throughout your event planning. Thinking about access from the start helps you find ways to integrate provisions into your event. This approach is called <span title=\"Integrated access\" data-definition-name=\"Integrated access\" data-definition=\"integrated-access\" data-definition-id=\"4398\" class=\"ace-definition-inserter\"><\/span>or <span title=\"Creative access\" data-definition-name=\"Creative access\" data-definition=\"creative-access\" data-definition-id=\"4340\" class=\"ace-definition-inserter\"><\/span>. You should consider:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>what you know about the needs and preferences of your audience<\/li>\n\n\n\n<li>your organisation\u2019s strategic approach to <span title=\"Programming\" data-definition-name=\"Programming\" data-definition=\"programming\" data-definition-id=\"4442\" class=\"ace-definition-inserter\"><\/span>adapted and accessible work (refer to <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/strategic-commitment\/adapted-performance-programming\/\">Creative and Cultural Experiences&nbsp;1.03&nbsp;Adapted&nbsp;Performance Programming<\/a>)<\/li>\n\n\n\n<li>what types of access provision can be built into the work<\/li>\n\n\n\n<li>what, if any, extra adapted experiences need to be planned for<\/li>\n\n\n\n<li>whether the event has features that naturally make it accessible for some people, for example, if it is completely audio-led, or completely visually-led<\/li>\n\n\n\n<li>budget (refer to <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/strategic-commitment\/budgeting-for-access\/\">Creative and Cultural Experiences&nbsp;1.04 Budgeting for Access<\/a>)<\/li>\n\n\n\n<li>timeline, for example, when you will need to book access providers, confirm dates for adapted presentations or source any specific access kit such as <span data-definition=\"caption-units\" data-definition-id=\"5422\" title=\"Caption units\" data-definition-name=\"Caption units\" class=\"ace-definition-inserter\"><\/span>, <span data-definition=\"audio-description\" data-definition-id=\"4310\" title=\"Audio description\" data-definition-name=\"Audio description\" class=\"ace-definition-inserter\"><\/span> headsets or rest kits<\/li>\n\n\n\n<li>the accessibility of your venue or event space<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Involve disabled people<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">You should involve disabled people at all levels of event planning. This could start with strategic planning. For example, you might have a paid focus group to assess access across your programme. Disabled individuals can also work as permanent, temporary, or freelance staff in your organisation. Don&#8217;t assume that disabled staff will do additional work around accessibility. However, enabling people to bring their lived experience to their own role can be very useful.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Employ disabled people wherever possible for access provision at your event. This includes roles like access consultants, lived experience script consultants, or providers for <span title=\"Audio description\" data-definition-name=\"Audio description\" data-definition=\"audio-description\" data-definition-id=\"4310\" class=\"ace-definition-inserter\"><\/span>, <span title=\"Sign language interpretation\" data-definition-name=\"Sign language interpretation\" data-definition=\"sign-language-interpretation\" data-definition-id=\"4829\" class=\"ace-definition-inserter\"><\/span>, and <span title=\"Relaxed events\" data-definition-name=\"Relaxed events\" data-definition=\"relaxed-events\" data-definition-id=\"5426\" class=\"ace-definition-inserter\"><\/span>. Use <a href=\"https:\/\/allin.online\/all-in-for-the-sector\/support-organisations\/\">All In\u2019s Support Directory<\/a> to find the right people to assist you.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Identify responsible people<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure that you understand who is responsible for various aspects of access during the event planning process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is useful for one person to have an overview of all the access planning for your event to make sure everything stays on track. However, you should share responsibility for different bits of access delivery among your team. For example, a member of your technical team might be responsible for collaborating with <span data-definition=\"captioner\" data-definition-id=\"4860\" title=\"Captioners\" data-definition-name=\"Captioners\" class=\"ace-definition-inserter\"><\/span>to deliver captions, and a member of your marketing team might lead the planning of a <span title=\"Sign language flyer\" data-definition-name=\"Sign language flyer\" data-definition=\"sign-language-flyer\" data-definition-id=\"4471\" class=\"ace-definition-inserter\"><\/span> (a video providing marketing information in sign language) for the event.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Decide who will lead on access at the event itself. This might be someone from your customer service team. For example, you might offer integrated<span title=\"Sign language interpretation\" data-definition-name=\"Sign language interpretation\" data-definition=\"sign-language-interpretation\" data-definition-id=\"4829\" class=\"ace-definition-inserter\"><\/span>, or you might plan to create an <span data-definition=\"audio-described-introduction\" data-definition-id=\"6406\" title=\"Audio-described introduction\" data-definition-name=\"Audio-described introduction\" class=\"ace-definition-inserter\"><\/span> which will be available throughout the project.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Plan how you will deliver these elements and identify who you will need to work with to achieve this. Ensure that you have budgeted enough to cover everything in your plans. For more information, refer to <a href=\"https:\/\/allin.online\/standard\/customer-service\/planning-a-visit\/pre-event-access-information\/\">Customer Service 1.03 Pre-Event Access Information<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For more information about delivering <span title=\"Integrated access\" data-definition-name=\"Integrated access\" data-definition=\"integrated-access\" data-definition-id=\"4398\" class=\"ace-definition-inserter\"><\/span>or <span title=\"Creative access\" data-definition-name=\"Creative access\" data-definition=\"creative-access\" data-definition-id=\"4340\" class=\"ace-definition-inserter\"><\/span>for audiences, refer to <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/event-planning-and-delivery\/audience-provisions\/\">Creative and Cultural Experiences&nbsp;4.03&nbsp;Audience Provisions<\/a>.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Scheduled adapted presentations<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">When you know what access provisions will be built into your event, decide if you will schedule any additional adapted experiences, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>a sign language interpreted performance, presentation or a sign-language-led tour delivered by a deaf professional<\/li>\n\n\n\n<li>a captioned performance or presentation<\/li>\n\n\n\n<li>a live <span data-definition=\"audio-described\" data-definition-id=\"5872\" title=\"Audio described\" data-definition-name=\"Audio described\" class=\"ace-definition-inserter\"><\/span> performance, presentation or tour<\/li>\n\n\n\n<li>scheduled <span data-definition=\"relaxed-events\" data-definition-id=\"5426\" title=\"Relaxed events\" data-definition-name=\"Relaxed events\" class=\"ace-definition-inserter\"><\/span> or time slots<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure that you announce dates and times for these experiences simultaneously with the event announcement, allowing people to choose and book adapted experiences from the moment booking opens for everyone. If you can\u2019t confirm specific details, such as the name of the sign language interpreter when booking opens, make sure to specify when you will update this information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If an experience is on display at your venue for an extended period, it can be helpful to schedule performances and presentations involving access providers later in the run, so that your providers have sufficient time to prepare. Talk to your providers early; they will be able to advise on this.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You should also plan for any access provisions that you intend to offer only upon request. For example, <span data-definition=\"sign-language-interpreter\" data-definition-id=\"4857\" title=\"Sign language interpreters\" data-definition-name=\"Sign language interpreters\" class=\"ace-definition-inserter\"><\/span> at a concert. Set realistic timeframes for access requests to ensure the provider has sufficient time to prepare a high-quality experience. For example, sign language interpreters require at least 6-8 weeks to prepare for a performance, so requests should be made at least 8 weeks prior to the event.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In theatre, it is usually more feasible to offer on-request access provision (such as <span title=\"Audio description\" data-definition-name=\"Audio description\" data-definition=\"audio-description\" data-definition-id=\"4310\" class=\"ace-definition-inserter\"><\/span>, <span title=\"Sign language interpretation\" data-definition-name=\"Sign language interpretation\" data-definition=\"sign-language-interpretation\" data-definition-id=\"4829\" class=\"ace-definition-inserter\"><\/span>, or <span data-definition=\"captioning\" data-definition-id=\"4322\" title=\"Captioning\" data-definition-name=\"Captioning\" class=\"ace-definition-inserter\"><\/span>) if another instance of this is already scheduled during the run of the show, so that the necessary material is already prepared. This can be helpful if someone is unable to attend on the date of your planned accessible performance, especially for long-running shows.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure that any bookable elements of access provision or adaptations that impact your event space are included in your ticketing plan. That might include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>holding seats for sign language users in view of an interpreter<\/li>\n\n\n\n<li>reducing audience capacity for <span title=\"Relaxed events\" data-definition-name=\"Relaxed events\" data-definition=\"relaxed-events\" data-definition-id=\"5426\" class=\"ace-definition-inserter\"><\/span>or socially distanced events<\/li>\n\n\n\n<li>enabling audio description users to book onto a <span data-definition=\"touch-tour\" data-definition-id=\"6405\" title=\"Touch tour\" data-definition-name=\"Touch tour\" class=\"ace-definition-inserter\"><\/span> before the event<\/li>\n\n\n\n<li>letting people book a space on an accessible viewing platform, or a seat at a standing event<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">If your venue doesn\u2019t control the programme, share resources. For example, give visiting <span title=\"Promoters\" data-definition-name=\"Promoters\" data-definition=\"promoters\" data-definition-id=\"5121\" class=\"ace-definition-inserter\"><\/span>or production companies a list of local access providers during planning. Offer access providers food and drink as part of any artist liaison arrangements on their event days. You will need to identify any seats to be reserved, or areas designated for sign language users. In theatre and performance, interpreters are traditionally positioned Stage Right if they are working at the side of the stage.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For online events, ensure that users can \u2018pin\u2019 the interpreter so they can see them clearly. Identify any seats or areas reserved for caption users. You also need to plan how to display the captions and book any <span data-definition=\"caption-units\" data-definition-id=\"5422\" title=\"Caption units\" data-definition-name=\"Caption units\" class=\"ace-definition-inserter\"><\/span> or screens you need.
