Disabled people often face barriers in a work environment. Accessible working practices help you create a workspace that works for a wide range of people, with different access needs.

This Standard focuses on accessible working practices for creative teams. This means artists, performers, curators, dramaturgs, historians and other people working with you in project-specific teams focused on creative commissions.

Based on best practice and the experiences of disabled people, the Accessible Working Practices Standard ensures your organisation:

establishes and regularly reviews accessible ways of working for all projects

communicates clearly with creative teams about what access provision is available and what is needed

makes to meet individual needs and goes beyond this wherever possible

safely keeps and uses data about access needs

Key areas for adjustments include physical adaptations, changes to working practices, support workers and assistive technology.

Practical examples

Consider various accessible working practices for your creative team. Consider your workplace design and the processes in place. There are likely some simple practices you can adopt that will benefit many people. For example, you could give a venue tour or a for new creative teams and visiting companies. Adding access information about the venue, like the locations of accessible toilets, calm spaces, or rest areas, to call sheets, schedules, or rehearsal details is also helpful.

Sharing this information with everyone means disabled people won’t have to ask or wait for new processes. Speak with your staff and use insights from past projects, especially those involving access needs. Connect with other venues to see what has worked for them. Employ access experts with lived experience if you want to explore a new area of access.

Access as a conversation

Access works best as a two-way conversation.

Always inform creative teams and visiting companies about access at your venue. Create an access information sheet and include this info in your technical specifications. Share your audience-facing access page or resources, like video tours or a . You can also make an access page for artists, creative teams, and performers. This page should describe back-of-house spaces, such as dressing rooms, workshops, or research areas.

Explain to new team members how you usually work. Making your systems and processes accessible is as important as ensuring the physical space is accessible. For instance, you might use colour-coded schedules or a specific messaging system that could create barriers for some.

You can suggest adjustments or approaches for barriers you’re already aware of. Share examples of or technical solutions you’ve used before, for example, using a different messaging tool or booking a different space.

The more information you can provide up front, the easier it will be for creative teams and visiting companies to spot things that might be access barriers for them and say how they’d like their needs to be met. Providing this information will also help people feel more confident accessing your venue. This approach follows the social model of disability because you are proactively taking responsibility for removing barriers and meeting people’s access needs.

After sharing key access information with the team, check if any further changes are needed. Listen closely to any requests and suggestions. Be ready to adapt your approach. A solution that worked before might not be right for everyone.

Access riders

Ask everyone in the team to share their with you if they have one. An access rider is a document where someone can list their access needs for a particular project or activity. Not everyone will have an access rider. Some may prefer to discuss their needs instead. You can also provide a template for those who want to fill one out. Examples are available in the learning resources at the end of this Standard. Access Docs for Artists has a useful library of examples of people’s access riders.

When you receive people’s access riders, follow up with a conversation in a way that works for that person. This ensures you understand their needs fully. For example, if someone has said ‘a few steps are fine’ and your venue has five steps into the rehearsal room, you should check that this will be accessible for them.

Always ask everyone about their access needs, regardless of whether they identify as disabled.

Make reasonable adjustments

Use the and follow-up conversations to start planning changes you’ll make. Sometimes, someone might not be sure what they need to make a role or project accessible to them. You could share a list of the types of you’ve used before. You could sit down with them and think through what they might need at different stages of the project. The person may be able to get a through or through a scheme like Access to Work (UK) or Work and Access (Ireland), or they may have had one before for a similar setting.

In legal terms, changes made to meet someone’s access needs are called reasonable adjustments. Reasonable adjustments can include:

adapting the built environment with temporary or permanent changes

adapting a role to remove barriers

adapting a role to suit someone’s strengths and skillset

adapting how you will communicate across the project team

See the practical example for more examples of adjustments.

You must make reasonable adjustments to meet people’s access needs and remove access barriers under the . You should aim to go beyond the minimum requirement on this wherever possible.

There may be some access needs you are not sure if you can meet, due to cost or other practicalities. In these instances, you should see if you can meet the need, but in a different way than the person originally suggested. For example, rather than install a ramp to a rehearsal room, you could reschedule all rehearsals to a room with .

The law in the UK provides guidance on what is considered a reasonable adjustment. You should consider a range of factors when determining the adjustments you can make.

Effectiveness

Does the change eliminate an access barrier and remove the disadvantage for the individual? The goal is to enable full and equitable participation.

Practicality

Can the change be implemented within your timeframe? Do you have sufficient support to facilitate the adjustment? Explore ways to overcome challenges or find practical alternatives.

Cost

What will the change cost, and how does this expense relate to your organisation’s budget? Is there potential funding available, such as a funding scheme? Refer to Creative and Cultural Experiences 1.04 Budgeting for Access for more guidance.

Disruption

Will the change interfere with others’ work or conflict with other access needs? Seek methods to minimise or avoid such disruptions.

Risk

Could it pose any risk to others, such as a Health and Safety concern? If so, it may not be a practical, reasonable adjustment. Consider alternative ways to address the access need.

Once you know how to meet someone’s access needs, talk to them about what you can do. If you have other ideas, ask if those would work for them. You may need to try some changes first to see if they are effective before making them permanent.

Don’t overpromise on access before you are sure the changes can be made. It is more helpful for someone to get a realistic picture of your current workplace access provisions and barriers. Be honest if you will be trying an access adaptation for the first time, so that the creative practitioner can have realistic expectations and give their to take part or not.

are often needed to get around the design of our workplaces and organisations. They aren’t about someone’s ‘capability’ or ‘ability’. Adjustments are a way to widen the range of bodies and minds who can work safely and effectively in creative and cultural spaces. Changing how you work to include accessibility from the beginning often leads to fewer ad hoc adjustments for individual projects. This practice is beneficial for everyone.

Safely keep and use records of access needs

It is useful to keep a record of access needs and adjustments that you have made. This will save time if you’re working with someone on a regular basis. Ask if they are happy with you keeping a copy of their or details about their needs in another format, like a form. Make sure you ask for consent before sharing these with other members of staff at the venue or saving them to a database. Remember to comply with data protection requirements ().

When booking rooms, planning schedules or allocating roles, the record of access needs can be checked without having to ask the person again. That way, people are not asked to work in ways that aren’t accessible to them. In some cases, it is better to describe the different roles or shifts that are available and let people choose which ones best suit their needs and their strengths.

Make sure to ask every time you work with someone if there are any updates to their access rider, because access needs can change over time. You should also communicate any changes to access at your venue, such as improvement works.

Have a culture of putting access and wellbeing first

Create a statement for your organisation which says that access and wellbeing are more important than, for example, an event running exactly on time. When leadership teams set this example, staff are more confident to follow their lead and make space and time for a high standard of accessibility. This might be part of your organisational approach to disability and access. For more on this, refer to Creative and Cultural Experiences 1.01 Organisational Approach.

Your statement on access and wellbeing could be within your access policy or on your location access page on your website. For more guidance, review Customer Service 1.05 Access Policies, Customer Service 1.03 Pre-Event Access Information, and Digital Communications 1.01 Access Information Pages.

Benefits and pay

Part of an accessible workplace culture involves recognising the unpaid or unacknowledged access work that creative teams, including volunteers, often do. This is especially true for those who are disabled or have access needs. To address this, organisations should ensure that access work is a paid role. Alternatively, they can pay creative teams for their input on access consultancy. If relevant, have a discussion with creators about the best way for them to get paid without negatively affecting any disability benefits.

For example, two key benefits in the UK that earnings affect are Employment and Support Allowance (ESA) and Universal Credit (UC). Each benefit is impacted differently by work and earnings. People on ESA can do some ‘’ because they have limited capacity for work. This work has limits on hours and pay. If they exceed these limits, they risk losing their ESA entitlement. In contrast, UC has no limit on permitted work hours, but there is a monthly earnings cap. If they earn over this cap, their benefits for that month decrease by a percentage for every £1 they earn over the limit.

You can support disabled creators to navigate these restrictions by discussing the best way for them to get paid and when. For example, spreading a payment over instalments may avoid penalties or reductions.

Being paid on specific days or over different periods may suit some people better due to access needs. For instance, some neurodivergent individuals might manage their finances more easily with regular payments. It’s key to ask what works best for each person instead of assuming.

Be open to different ways of recognising contributions. For example, some people may wish to be compensated for their time and contributions with vouchers if this is possible.

Some funding applications need all contributors to be paid for their creative work. However, creatives can also donate their time or resources voluntarily. This is often called ‘’ on funding bids. It allows them to be acknowledged for their efforts without receiving payment. This option should only be used when it fits the contribution and is chosen by the contributor. It should not be a way to avoid fair wages. Further information on fair pay practices can be found in the learning resources section and on the Arts Council Funding information portal.

Standard – specifications

Influencing accessible practice

Definitions and acronyms

Access rider

A document where someone lays out their access requirements for doing a job, project or activity.

Braille

A system of raised dots that people who are blind or have low vision can read by touch.

Easy Read

An alternative version of written information that uses simple words and pictures to help someone understand. If they earn over the cap then their benefits for that month are reduced by a percentage for every £1 over the cap.

Reasonable adjustments

Changes made to prevent or remove barriers to access and inclusion.
