It will support your organisation to write contracts for artists, performers, curators, and other creative <span title=\"Contractors\" data-definition-name=\"Contractors\" data-definition=\"contractors\" data-definition-id=\"4337\" class=\"ace-definition-inserter\"><\/span>who aren&#8217;t regular salaried staff.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Contracts with production companies and promoters are covered in <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/strategic-commitment\/external-production-companies-and-promoters\/\">Creative and Cultural Experiences&nbsp;1.05&nbsp;External Production Companies and Promoters<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Discussing project terms and receiving a contract are often the first steps in working with your organisation. A welcoming experience reassures disabled people that their access needs will be met.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Many professionals have faced barriers with creative and cultural organisations. For some disabled professionals, negotiating a contract may be a new experience. It\u2019s crucial that they feel safe and supported when sharing information with your organisation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This Standard makes sure that:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>your contracts are accessible and easy to understand<\/li>\n\n\n\n<li>you support people to understand their contract<\/li>\n\n\n\n<li>your contracting process includes finding out how to meet people\u2019s access needs on the project<\/li>\n<\/ul>\n<\/div>\n\n\n\n<div id=\"examples\" class=\"wp-block-ace-standard-examples bg_grey inner-padding standard-examples\"><h3>Practical example<\/h3>\n<h4 class=\"wp-block-ace-heading\"><\/h4>\n\n\n\n<div class=\"wp-block-ace-standard-example standard-example\">\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-8f761849 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<div class=\"wp-block-ace-image content-image alt-block\"><\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<div class=\"wp-block-ace-content-blocks border-top\">\n<div class=\"wp-block-ace-intro content-intro\"><p>This <a href=\"https:\/\/www.fact.co.uk\/resources\/2022\/03\/easy-read-artist-contract\">example of a more accessible contract template<\/a> was created by Jack Tan as artist-in-residence for FACT (Foundation for Art &amp; Creative Technology). The template uses accessible formatting such as a light yellow background, clear spacing, and a simple font. The contract is organised into categories: what, where, and when. Tan suggests replacing terms like \u2018supplier\u2019 and \u2018artist\u2019 with [name] or the person\u2019s name prefilled. Any legal terms are simplified, and anything not about that specific artist is removed. Despite the name, this example isn\u2019t strictly in <span data-definition=\"easy-read\" data-definition-id=\"4354\" title=\"Easy Read\" data-definition-name=\"Easy Read\" class=\"ace-definition-inserter\"><\/span> format because it doesn\u2019t include pictures or symbols, but it does use plain language that is easy to read and understand.<\/p><\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n\n\n\n<div id=\"key_considerations\" class=\"wp-block-ace-standard-key-considerations standard-key-considerations standard-content\"><h3>Key considerations<\/h3>\n<h4 class=\"wp-block-ace-heading\"><\/h4>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Accessible formats<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Always be ready to provide a contract in a format that suits the individual, such as <span title=\"Braille\" data-definition-name=\"Braille\" data-definition=\"braille\" data-definition-id=\"4316\" class=\"ace-definition-inserter\"><\/span>, <span title=\"Easy Read\" data-definition-name=\"Easy Read\" data-definition=\"easy-read\" data-definition-id=\"4354\" class=\"ace-definition-inserter\"><\/span>, or audio. Check what format they need before preparing the contract. For more information on accessible formats, see <a href=\"https:\/\/allin.online\/standard\/customer-service\/planning-a-visit\/information-formats\/\">Customer Service 1.02 Information Formats<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure you provide accessible methods for signing a contract (for example, as a hard copy or using a digital tool like Adobe Sign).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Providing a clearly laid-out contract in makes the document accessible to many people. Use bullet points to break up lengthy sections of information. Use bookmarks or a contents navigator to help people keep their place and find what they need in the document. You can also use simple headings to break up the content of the document. Refer to Jack Tan\u2019s template in 3.02b Practical Example.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Use <span data-definition=\"plain-language\" data-definition-id=\"5116\" title=\"Plain language\" data-definition-name=\"Plain language\" class=\"ace-definition-inserter\"><\/span> and avoid jargon as much as possible. Ensure that legal terms and phrases are explained in clear, simple language. You could provide a <span data-definition=\"glossary\" data-definition-id=\"4382\" title=\"Glossary\" data-definition-name=\"Glossary\" class=\"ace-definition-inserter\"><\/span>alongside the main contract. Take out any parts of the template that aren\u2019t needed for the person you are contracting with. Ensure you do this in a way that works for the person you\u2019re contracting with. This is sometimes called an \u201cUnderstanding your contract\u201d session. Make sure that both parties fully understand everything before proceeding.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Access needs<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Before making the contract, have a conversation with the person you\u2019re contracting with about their access needs. Ask if they have an <span data-definition=\"access-rider\" data-definition-id=\"4289\" title=\"Access rider\" data-definition-name=\"Access rider\" class=\"ace-definition-inserter\"><\/span> they\u2019d like to share with you. For more about access riders, refer to <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/working-with-artists\/accessible-working-practices\/\">Creative and Cultural Experiences&nbsp;3.03&nbsp;Accessible Working Practices<\/a>). Agree on how you plan to meet their needs during the project. Agree who\u2019ll be responsible for making sure this happens. Include this information in the contract.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If possible, keep the conversation about access requirements separate from other negotiations, such as payment.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Deliverables<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Be clear what the contractor is responsible for doing (often called the <span data-definition=\"deliverables\" data-definition-id=\"4346\" title=\"Deliverables\" data-definition-name=\"Deliverables\" class=\"ace-definition-inserter\"><\/span>). Include a plan with estimated timeframes for each part of the work. Agree and note any \u2018hard\u2019 deadlines that cannot change. Around this, build in flexibility wherever you can. Be clear about what happens if work can\u2019t be completed, including what support you can offer. Include different scenarios such as work being delayed due to disability, illness or access-related absence. You should have these conversations, regardless of whether you\u2019re aware that the contractor has access needs.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Clearly outline how you\u2019ll determine when each deliverable or part of the work is complete. Easy Read is often used by people with a Learning Disability.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Glossary<\/h4><div><p>A list of words (usually hard words) with a simple explanation of what they mean.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Open captions<\/h4><div><p>Captions, for example on a video, that are always visible to the viewer and cannot be turned off.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Plain language<\/h4><div><p>A way of writing or speaking that is clear and simple and avoids jargon and hard words.
