These features are typically available only on specific days, times, or performances. Another option is to incorporate access provisions throughout the entire project using <span title=\"Integrated access\" data-definition-name=\"Integrated access\" data-definition=\"integrated-access\" data-definition-id=\"4398\" class=\"ace-definition-inserter\"><\/span>or <span title=\"Creative access\" data-definition-name=\"Creative access\" data-definition=\"creative-access\" data-definition-id=\"4340\" class=\"ace-definition-inserter\"><\/span>. Aim to include access provisions for your audience as part of your initial plans.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Finding gaps in accessibility early allows you the time to deliver a good quality adapted experience. Make sure this assessment is a regular part of your event planning process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Think about:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>what access features are already included, like <span data-definition=\"captions\" data-definition-id=\"4323\" title=\"Captions\" data-definition-name=\"Captions\" class=\"ace-definition-inserter\"><\/span>on all videos or a visually led experience without speech<\/li>\n\n\n\n<li>the access features you provide that are always available at your venue or event, such as a calm space, an assisted listening system, or staff who can sign or audio describe<\/li>\n\n\n\n<li>the gaps in your offerings where you need to create adapted experiences.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">For more information about the different ways of offering access provision, refer to <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/event-planning-and-delivery\/audience-provisions\/\">Creative and Cultural Experiences 4.03 Audience Provisions<\/a>.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Choosing and programming the access offer<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Once you know you&#8217;ll need to programme adapted experiences, establish a clear method for deciding what to programme and when.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Consider what you know about the needs and preferences of your access audiences. For instance, think about which days or times work best for potential attendees. Use surveys, access scheme data, or past audience information to guide your decisions. Avoid making assumptions or opting for what\u2019s easiest for your organisation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Look at the timeline of the event. Determine how long the experience will be available at your venue, how much planning time you have, and how long your access provider, such as a sign language tour guide, will need to prepare adequately.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Consider financial factors. Be prepared to clearly explain how these factors influence your decisions regarding access provisions. You can include this in your access policy.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you must choose between various access options due to financial limits, always pick the least restrictive one that offers the most access and choice for everyone.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Offer alternatives, for example, if you can\u2019t provide <span title=\"Captions\" data-definition-name=\"Captions\" data-definition=\"captions\" data-definition-id=\"4323\" class=\"ace-definition-inserter\"><\/span>, offer a printed <span title=\"Transcript\" data-definition-name=\"Transcript\" data-definition=\"transcript\" data-definition-id=\"4496\" class=\"ace-definition-inserter\"><\/span> of the missing information. If you can\u2019t offer live <span title=\"Audio description\" data-definition-name=\"Audio description\" data-definition=\"audio-description\" data-definition-id=\"4310\" class=\"ace-definition-inserter\"><\/span> or an audio described tour, provide an audio introduction to give people some context. When you\u2019ve decided what is possible, ensure that you communicate exactly what is on offer and how it\u2019s being presented, so that people\u2019s expectations are clearly set.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Decide whether you will use the same process and rationale to programme adapted provision for ticketed or bookable events as for open-to-all, non-bookable experiences. If not, establish a clear process for each.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Consistent process<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">You should use the same process each time you need to decide about <span data-definition=\"programming\" data-definition-id=\"4442\" title=\"Programming\" data-definition-name=\"Programming\" class=\"ace-definition-inserter\"><\/span>adapted experiences.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You might set a baseline for the type of adapted experiences you will offer, the number you will programme, or the frequency with which you will programme them. This will help you budget appropriately and offer the best access possible across your programme. For more on budgeting, refer to <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/strategic-commitment\/budgeting-for-access\/\">Creative and Cultural Experiences 1.04 Budgeting for Access<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you are an organisation that doesn\u2019t control its programme, these expectations should be included in contracts, deal memos, or negotiations with promoters or production companies.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure that your process considers the preparation time needed by access providers, such as sign language interpreters. You should also ensure adapted performances are announced and marketed at the same time as the whole offer, as well as being promoted directly to potential attendee groups. Refer to <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/event-planning-and-delivery\/event-planning\/\">Creative and Cultural Experiences 4.01 Event Planning<\/a> and <a href=\"https:\/\/allin.online\/standard\/creative-and-cultural-experiences\/event-planning-and-delivery\/audience-provisions\/\">Creative and Cultural Experiences 4.03 Audience Provisions<\/a> for more about this.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">On-request access provision<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">You might choose to provide some access options on request. For instance, it&#8217;s common to offer <span data-definition=\"sign-language-interpretation\" data-definition-id=\"4829\" title=\"Sign language interpretation\" data-definition-name=\"Sign language interpretation\" class=\"ace-definition-inserter\"><\/span> at music concerts. This could be for additional access provision alongside your programmed offer, or access provision only offered on request.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Have a clear process for deciding when to provide on-request access. Make sure you budget for it in case someone asks.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Set realistic deadlines for requests. This gives the access provider enough time to prepare a quality experience. For example, sign language interpreters require at least 6-8 weeks&#8217; notice for a performance, so requests should be made at least 8 weeks prior to the event.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you&#8217;re working with promoters or production companies, agree on access provisions during the contract stage. Decide who will cover the costs.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once the access provision is arranged, promote it through your marketing. Audio description describes important visual details such as costume, set, location, facial expressions, body language and actions.<\/p>\n<p>It can be delivered live through speakers or a headset to people at an event or show, or as a live or pre-recorded audio described tour (for example at a museum). It can also be integrated into the script of a play or a voiceover, or delivered by a character. In a digital context, such as cinema or video, it can be delivered as a separate audio track or integrated into a script or voiceover.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Captions<\/h4><div><p>A text display of the spoken words and important sound elements of a performance or video. This is usually shown on a screen or caption unit, or integrated into the set so that people can follow along. Captions can be delivered by a captioner in the venue, or remotely. Captions can be pre-scripted or produced live depending on the type of event.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Creative access<\/h4><div><p>When access is creatively woven into a project from the beginning. Usually refers to a project where access is part of the artistic vision or purpose so that the access and the art cannot be separated.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Integrated access<\/h4><div><p>A pre-planned and proactive approach to making experiences accessible that considers an accessible audience experience from the start of the project.
