If policies overlook the experiences of disabled individuals and those with <span data-definition=\"intersecting-identities\" data-definition-id=\"3613\" title=\"Intersecting identities\" data-definition-name=\"Intersecting identities\" class=\"ace-definition-inserter\"><\/span>, they may not meet everyone&#8217;s needs. To ensure this, you need a clear process for regularly updating policies to keep them relevant. There is a clear way to get in touch if you need the information in a different format.<\/p><\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n\n\n\n<div id=\"key_considerations\" class=\"wp-block-ace-standard-key-considerations standard-key-considerations standard-content\"><h3>Key considerations<\/h3>\n<h4 class=\"wp-block-ace-heading\">Reviewing policies<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure that each relevant policy has a named individual or job role responsible for its review and update. Set clear, regular review points. Review and update your policies:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>at least annually<\/li>\n\n\n\n<li>after any major changes to your venue<\/li>\n\n\n\n<li>after any incident, accident or near-miss<\/li>\n\n\n\n<li>after any changes to the law, such as a change to the fire safety regulations<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Your policy should show when it was last reviewed and updated, and who made the change. This is known as version control.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Recognising increased risk of harm for disabled people<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">When reviewing policies such as your health and safety policy and safeguarding policy, it\u2019s important that you keep in mind the increased risk of harm for disabled people, especially those with <span data-definition=\"intersecting-identities\" data-definition-id=\"3613\" title=\"Intersecting identities\" data-definition-name=\"Intersecting identities\" class=\"ace-definition-inserter\"><\/span>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If someone faces multiple forms of marginalisation, for example, due to gender and race, they may be more likely to experience harassment. Their lived experience might make it harder for them to speak up about what happened. They may worry about not being believed or understood. Your policies should outline how you will foster a culture where disabled people are heard and respected. Avoid stereotypes and assumptions about disabled people. For example, don\u2019t assume that a disabled person hasn\u2019t understood a situation when they share experiences of harassment or abuse. For more about this, refer to <a href=\"https:\/\/allin.online\/standard\/customer-service\/emergency-and-incidents\/preventing-and-handling-incidents\/\">Customer Service 3.02 Preventing and Handling Incidents<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">At the same time, it\u2019s important that your policies recognise that each disabled person\u2019s experience is different. Avoid making blanket statements about disability. By saying that all people with a particular type of impairment can\u2019t use specific equipment or be in a particular area, you are making assumptions. Hold information sessions in accessible spaces and be prepared to provide supporting information in alternative accessible formats if they are needed. For more information on setting up these types of groups, refer to <a href=\"https:\/\/allin.online\/standard\/customer-service\/continuous-improvement\/accountability-structures\/\">Customer Service 4.03 Accountability Structures<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Consider building relationships with local groups and consulting with them on policy reviews. This might include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span data-definition=\"disabled-peoples-organisations\" data-definition-id=\"4811\" title=\"Disabled People\u2019s Organisations\" data-definition-name=\"Disabled People\u2019s Organisations\" class=\"ace-definition-inserter\"><\/span> (DPOs)<\/li>\n\n\n\n<li>your local <span data-definition=\"send\" data-definition-id=\"4467\" title=\"SEND\" data-definition-name=\"SEND\" class=\"ace-definition-inserter\"><\/span>(special educational needs and disabilities) networks or SEND family groups<\/li>\n\n\n\n<li>home education networks with a high proportion of SEND families and young people<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Communication<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Use inclusive, <span data-definition=\"identity-first-language\" data-definition-id=\"4393\" title=\"Identity-first language\" data-definition-name=\"Identity-first language\" class=\"ace-definition-inserter\"><\/span>, like \u2018disabled person,\u2019 in your policies. Ensure staff can easily find and reference these policies. Offer policies in accessible formats, such as audio, <span data-definition=\"large-print\" data-definition-id=\"4405\" title=\"Large print\" data-definition-name=\"Large print\" class=\"ace-definition-inserter\"><\/span>, and dyslexia-friendly fonts. Provide an <span data-definition=\"easy-read\" data-definition-id=\"4354\" title=\"Easy Read\" data-definition-name=\"Easy Read\" class=\"ace-definition-inserter\"><\/span> version of key information for customer service staff<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Access policy<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">When reviewing your access policy, include specific processes for your venue or event&#8217;s audience. They act as a \u2018critical friend\u2019 and provide support, feedback and advice.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Assistance dog<\/h4><div><p>A working dog that has been highly trained to assist\u00a0a disabled person or someone with a long-term medical condition.\u00a0Assistance\u00a0dogs might include guide dogs that guide blind\u00a0people, hearing dogs that\u00a0assist deaf people or medical alert dogs that can alert their owners to oncoming medical episodes, or prompt them to take medication.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Disabled People\u2019s Organisations<\/h4><div><p>A group that is run by and for disabled people. DPOs often speak up for disabled people, protect disabled people\u2019s rights and make sure disabled people have a say in decisions. DPOs understand disability because they are led by people with lived experience.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Easy Read<\/h4><div><p>An alternative version of written information that uses simple words and pictures to help someone understand. Easy Read is often used by people with a Learning Disability.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Identity-first language<\/h4><div><p>This is a way of talking about disability that emphasises how disability is an integral part of someone\u2019s identity and lived experience. For example, identity-first language would refer to \u2018a disabled person\u2019 or \u2018an autistic person\u2019 rather than \u2018a person with a disability\u2019 or \u2018a person with autism\u2019.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Intersecting identities<\/h4><div><p><span class=\"NormalTextRun SCXW100197856 BCX0\">This means when someone has multiple marginalised identities or protected characteristics under the Equality Act (e.g. race, gender, age, sexual orientation) that overlap, influence <\/span><span class=\"NormalTextRun SCXW100197856 BCX0\">each other<\/span><span class=\"NormalTextRun SCXW100197856 BCX0\"> and shape the person\u2019s lived experience in unique ways<\/span><\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>Large print<\/h4><div><p>Large print is defined by the RNIB as being 16pt Arial or bigger. You should not refer to a document as being large print unless it conforms with this standard. Large print documents should also conform to other clear print guidelines concerning layout, use of fonts and images.<\/p>\n<\/div><\/div><div class=\"ace-definition-item\"><h4>SEND<\/h4><div><p>Special Educational Needs and Disabilities.
