However, it is also useful for you to have a stock of appropriate equipment for visitors. This is helpful for those who may have forgotten to bring their own, for people whose needs change unexpectedly during their visit, and for individuals with temporary or fluctuating conditions who don\u2019t usually carry equipment with them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You should budget to own and maintain an appropriate range and number of assistive aids in proportion to the size and budget of your organisation. If you\u2019re unsure what is useful for your visitors, feedback from your audience can help you. It\u2019s also helpful to find out what comparable venues have to offer. Your choice of equipment should reflect your audience&#8217;s needs. Use surveys and visitor feedback to guide you.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This Standard includes many examples of assistive aids. You don\u2019t need to have everything, just what\u2019s relevant for your venue and audience. Check what similar venues offer. It\u2019s helpful to talk to local venues about their equipment. You might also borrow items from nearby organisations if visitors request them in advance. Remember, if someone asks for equipment, you must provide it if it\u2019s reasonable. This means it should fit your budget, help remove access barriers, and meet health and safety standards.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There are also some libraries of access equipment that you can borrow from for specific events or for a visit from a particular group. For example, <a href=\"https:\/\/www.wearezooco.co.uk\/access-support\/access-resource-library#:~:text=We%20have%20a%20library%20of,resources%20without%20any%20budgetary%20constraints\">Zoo Co Access Resource Library<\/a> has free loanable kit such as a projector, <span data-definition=\"audio-description\" data-definition-id=\"4310\" title=\"Audio description\" data-definition-name=\"Audio description\" class=\"ace-definition-inserter\"><\/span> headsets, folding beds and partition screens.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For customised adaptations or offers for specific events, consider consulting an occupational therapist. They are trained to adapt tasks for accessibility and can help you find what will be most useful.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Budgeting and planning<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Every year, set aside money for buying, repairing, and replacing <span data-definition=\"assistive-aid\" data-definition-id=\"4236\" title=\"Assistive aids\" data-definition-name=\"Assistive aids\" class=\"ace-definition-inserter\"><\/span> and equipment. This should be part of your regular budget. Also, keep a bit of extra budget for specific requests from visitors or for specific events and exhibitions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Think about which equipment visitors can book in advance. This works well for items like wheelchairs, giving people reassurance that one will be ready when they arrive. Smaller items, like ear defenders, can be available for visitors to borrow on the day without booking. You might ask for a small returnable deposit for items booked in advance. Ensure this is affordable and be flexible to meet someone\u2019s needs if they can\u2019t provide a deposit.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Decide where to store equipment and how visitors will collect and return it. Try to have a drop-off point at the end of the visitor journey, so people don\u2019t have to go back to the entrance to return equipment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Have a plan for keeping all equipment clean and in good condition. Check and clean items between uses so they\u2019re ready for the next visitor. For example, test items like wheelchairs and <span data-definition=\"assistive-listening-systems\" data-definition-id=\"5962\" title=\"Assistive listening systems\" data-definition-name=\"Assistive listening systems\" class=\"ace-definition-inserter\"><\/span> regularly to ensure they\u2019re working properly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Do a final check when handing an item to a visitor to confirm it\u2019s fully charged and functioning. This avoids frustration. For instance, without checking when you hand it over, someone might not know their assistive listening device isn\u2019t working until the event starts. It\u2019s quicker and easier to swap it out at the point of collection.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Label everything clearly so visitors know it belongs to your venue or organisation.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Pre-visit information and processes<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">On your website, especially on the access page, provide a clear and updated list of all <span data-definition=\"assistive-aid\" data-definition-id=\"4236\" title=\"Assistive aids\" data-definition-name=\"Assistive aids\" class=\"ace-definition-inserter\"><\/span> and equipment available for borrowing. Include details on how to book or borrow items, whether in advance or on the day.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Provide a contact name or email address where people can ask questions about access and borrowing equipment. This information should be easy to find. For more details, refer to <a href=\"https:\/\/allin.online\/standard\/customer-service\/planning-a-visit\/pre-event-access-information\/\">Customer Service 1.03 Pre-Event Access Information<\/a> and <a href=\"https:\/\/allin.online\/standard\/customer-service\/continuous-improvement\/feedback-and-complaints\/\">Customer Service 4.02 Feedback and Complaints<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Most access aids should be free to borrow, sometimes with a small, returnable deposit. One exception might be equipment rented from an outside company, such as mobility scooters at large festivals. If a visitor contacts you in advance about an assistive aid you don\u2019t usually have, you should try to hire or borrow it if the request is reasonable, within budget and you have time to arrange it before their visit.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Customer service<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure your front of house and customer service staff know which <span data-definition=\"assistive-aid\" data-definition-id=\"4236\" title=\"Assistive aids\" data-definition-name=\"Assistive aids\" class=\"ace-definition-inserter\"><\/span> and equipment can be borrowed. They should know where everything is stored and how to hand it out. If needed, they should also demonstrate or explain how to use the equipment. Staff must know who to contact if they have questions. Make sure relevant staff know how to care for or clean the equipment before and after use.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Keep a log of what has been borrowed, when, and by whom. A simple logbook can work well. This helps track items and shows what\u2019s available.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Staff should inform visitors where to return items at the end of their visit. This location should be clear and easy to find. If possible, set up a return point at the end of the visitor journey. This way, people won\u2019t have to go back to the entrance to return their items.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Refer to <a href=\"https:\/\/allin.online\/standard\/customer-service\/during-a-visit\/customer-service-points\/\">Customer Service 2.03 Customer Service Points<\/a> and <a href=\"https:\/\/allin.online\/standard\/customer-service\/during-a-visit\/hosting-adapted-performances-and-presentations\/\">Customer Service 2.04 Hosting Adapted Performances and Presentations<\/a> for more information.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Hearing aid induction loops<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Customer service points like counters, bars and merchandise stands should be equipped with <span data-definition=\"hearing-aid-induction-loops\" data-definition-id=\"4841\" title=\"Hearing aid induction loops\" data-definition-name=\"Hearing aid induction loops\" class=\"ace-definition-inserter\"><\/span> to support one-to-one transactions and conversations for hearing aid users. There should be clear signage to show where a hearing aid induction loop is available. Staff should be aware of how to use the loop, and you should have a clear procedure for testing and maintaining your loops.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For more information about this, refer to <a href=\"https:\/\/allin.online\/standard\/customer-service\/during-a-visit\/customer-service-points\/\">Customer Service 2.03 Customer Service Points<\/a> and <a href=\"https:\/\/allin.online\/standard\/built-environment\/entry-and-exit-routes\/ticketing-and-reception\/\">Built Environment 2.03 Ticketing and Reception<\/a>.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Wayfinding and sensory environments<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Maps of your venue should be available in different formats, including <span data-definition=\"large-print\" data-definition-id=\"4405\" title=\"Large print\" data-definition-name=\"Large print\" class=\"ace-definition-inserter\"><\/span> and <span data-definition=\"braille\" data-definition-id=\"4316\" title=\"Braille\" data-definition-name=\"Braille\" class=\"ace-definition-inserter\"><\/span>. You can also have tactile maps of your venue made by specialised providers such as RNIB. These maps can be understood by touch and sight. For example, there is <a href=\"https:\/\/acuity.design\/inclusive-design\/\">a tactile map of the WW1 Gallery<\/a> at the Imperial War Museum in London.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Consider creating <span data-definition=\"sensory-maps\" data-definition-id=\"4873\" title=\"Sensory maps\" data-definition-name=\"Sensory maps\" class=\"ace-definition-inserter\"><\/span>, too. These show visitors what to expect in terms of noise, light, crowd levels, or smells in different areas. Sensory maps can include tips about quieter times to visit, or which areas are busiest. You can also include a timetable or traffic light indicator of busy times and quieter periods.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can also provide a <span data-definition=\"sonic-story\" data-definition-id=\"4478\" title=\"Sonic Story\" data-definition-name=\"Sonic Story\" class=\"ace-definition-inserter\"><\/span> or <span data-definition=\"visual-story\" data-definition-id=\"4505\" title=\"Visual story\" data-definition-name=\"Visual story\" class=\"ace-definition-inserter\"><\/span> to help people prepare for a show or performance. These explain what will happen, such as loud sounds, sudden changes in lighting, or intense emotional scenes. For example, Barbican <a href=\"https:\/\/www.barbican.org.uk\/sites\/default\/files\/documents\/2024-11\/mnd-_-sonic-story-v1-1.pdf\">created a sonic story of A Midsummer Night\u2019s Dream<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Visual stories can also be used to help people navigate a general visit to your venue. They can cover what to expect at security checks, how to identify staff, points of interest, toilets, cafes, and different spaces.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><span data-definition=\"communication-cards\" data-definition-id=\"4334\" title=\"Communication cards\" data-definition-name=\"Communication cards\" class=\"ace-definition-inserter\"><\/span> are another helpful visual tool. They help people show their needs and wants. You could place these at key customer service points and within exhibitions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, the Tate has used <a href=\"https:\/\/www.tate.org.uk\/visit\/accessibility\">communication cards and visual guides<\/a> to support people navigating their venues.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure that these resources are available both as printed copies at your venue and as online downloads. The loop uses a microphone and transmits sound that can be picked up by a hearing aid on the \u2018T\u2019 setting.
