You should also share specifics about your venue&#8217;s accessibility features. For example, share that your policy is to offer free essential companion tickets. Check if there have already been any adapted experiences of the work offered (for example, then you might be able to book an interpreter who already knows the script, or an <span data-definition=\"audio-describer-2\" data-definition-id=\"5112\" title=\"Audio describer\" data-definition-name=\"Audio describer\" class=\"ace-definition-inserter\"><\/span> who\u2019s given a tour of the exhibition elsewhere).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Offer to share your resources (such as details of your access providers) with other venues where a touring event will be hosted. Particularly for disabled-led organisations, agree on the details of any access-focused consultancy, advisory work, or training that the organisation might provide while working with you.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Content<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Contracts should include a clearly labelled section that details the agreed-upon <span data-definition=\"adapted-performances-and-presentations\" data-definition-id=\"5118\" title=\"Adapted performances and presentations\" data-definition-name=\"Adapted performances and presentations\" class=\"ace-definition-inserter\"><\/span> for this work, ideally with dates and times.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If these haven\u2019t been agreed upon yet, you can include a section outlining your expectations, such as how many adapted performances or experiences you typically aim to provide and how you deliver them. This may be handled by the host venue, an external company, or a collaborative effort.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The contract should clearly state who will cover the costs of adapted performances or experiences. Again, this could be the host venue or the external company. It\u2019s common for these costs to be split equally between the two parties.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The contract should outline estimated timelines for delivering the adapted performances or presentations (for example, when dates need to be confirmed, when access professionals should be booked, and when preparation materials need to be supplied). It\u2019s essential to note any \u2018hard\u2019 deadlines that cannot be moved, such as announcements or on-sale dates.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you agree to provide access provisions, like <span data-definition=\"sign-language-interpretation\" data-definition-id=\"4829\" title=\"Sign language interpretation\" data-definition-name=\"Sign language interpretation\" class=\"ace-definition-inserter\"><\/span>, outline the request timeline. Include deadlines for audiences to submit requests and ensure you allocate a budget to meet these needs.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The contract must clearly state what happens if work isn&#8217;t completed or standards aren\u2019t met. Specify who will communicate with the audience and how this messaging will be decided.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Note where there is flexibility with timescales and deadlines, and where there isn\u2019t.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For disabled-led companies, create a separate contract for any access-focused consultancy, advisory work, or training they will deliver along with their performance or presentation. Don\u2019t expect companies to perform this work unless they\u2019re explicitly contracted for it.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Formatting and language<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Just like any other written information, it\u2019s important that your contracts themselves are accessible and easy to use. For example, you might keep track of how many times you\u2019ve had conversations like the ones described above but weren\u2019t able to agree on any adapted performances or experiences.
