It should inform visitors about:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>what they can and can\u2019t bring to the venue<\/li>\n\n\n\n<li>any security procedures or searches they will experience<\/li>\n\n\n\n<li>how to request adjustments<\/li>\n\n\n\n<li>what evidence is needed for adjustments to be made (if any)<\/li>\n\n\n\n<li>what the rules of the space are, for example, no flash photography<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">For venues with lists of permitted and prohibited items, provide this in various formats. Refer to <a href=\"https:\/\/allin.online\/standard\/customer-service\/planning-a-visit\/information-formats\/\">Customer Service 1.02 Information Formats<\/a> for guidance. The list should include items that you often receive queries about.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The following rules should be adjusted for access needs:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>no large bags &#8211; adjustments can be made for access equipment<\/li>\n\n\n\n<li>no food and drink &#8211; changes can be made for dietary needs or diabetes management<\/li>\n\n\n\n<li>no sharp items \u2013 adjustments can be made for medical requirement, such as needles for insulin<\/li>\n\n\n\n<li>no drugs \u2013 changes can be made for prescribed medications<\/li>\n\n\n\n<li>no dogs \u2013 adjustments can be made for <span data-definition=\"assistance-dogs\" data-definition-id=\"4209\" title=\"Assistance dogs\" data-definition-name=\"Assistance dogs\" class=\"ace-definition-inserter\"><\/span><\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">By providing clear online information about what is allowed and when, your visitors will feel more reassured and confident. For items needing pre-approval, include contact details and a process for requests, like bringing a larger mobility scooter or controlled medication. If an access lane or queue jump is only available at certain entrances, ensure that you clearly communicate this information in advance and at the venue.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Communication<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Inclusive communication is vital for your frontline staff. Security teams should talk directly to disabled visitors, not just their companions, unless the visitor requests someone else to speak for them. Use clear language when explaining screening or search processes and avoid jargon.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A <span data-definition=\"visual-guide\" data-definition-id=\"5890\" title=\"Visual guide\" data-definition-name=\"Visual guide\" class=\"ace-definition-inserter\"><\/span> of your security process, like images showing someone being patted down or removing shoes, can help. Be ready to adjust your approach based on their needs or preferences. No one should be separated from their companion, support person, or assistance animal during a security check unless they choose to be. Visitors should always have the option to bring someone with them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">At the same time, use discretion. Not all visitors want to share medical or access information with others in their group. Offer privacy and choice whenever you can. A calm and respectful process helps visitors feel safe and supported.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Mobility and medical aids<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">When searching, be discreet. Avoid lifting or moving clothing to expose someone\u2019s body. Some medical aids, like stoma bags or glucose monitors, may not be visible. If needed, offer a private space for the search. Explain that it\u2019s for comfort and privacy, not because the visitor has done anything wrong. Clear and respectful communication creates a safe environment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Mobility aids, such as wheelchairs or walking frames, are often considered an extension of the user\u2019s body. If you need to search a mobility aid, show the same respect as you would when searching a person. Always ask for permission before starting. Explain what you\u2019re doing and go at the visitor\u2019s pace.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If your venue needs walking sticks, white canes, or similar <span data-definition=\"assistive-aid\" data-definition-id=\"4236\" title=\"Assistive aids\" data-definition-name=\"Assistive aids\" class=\"ace-definition-inserter\"><\/span> to go through a scanner, provide a suitable temporary alternative. This could be a venue wheelchair or a <span data-definition=\"sighted-guide\" data-definition-id=\"5975\" title=\"Sighted guide\" data-definition-name=\"Sighted guide\" class=\"ace-definition-inserter\"><\/span> to assist the person. Some visitors may not want help with tasks like standing, and you should respect that. Keep the time any mobility or medical aid is out of reach to a minimum and return it quickly and carefully.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If wheelchairs must pass through a scanner, remember that not everyone can transfer out. Avoid asking, \u201cCan you walk?\u201d Instead, explain the options clearly. For example: \u201cVisitors staying in their wheelchair will need a manual pat-down as well. Those who transfer to our venue wheelchair may not need a pat-down unless the scanner alarm sounds.\u201d This enables people to make informed choices based on their individual needs.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Prosthetic limbs or body-worn medical devices should never be searched or removed in cultural settings. These procedures are only conducted in extremely limited circumstances, such as airport security, and are not appropriate in a public or visitor-facing arts environment.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Bag searches<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">During a bag search, avoid moving or removing items unless absolutely necessary. If you must move something, take care to return it to its original place. This is particularly important for blind or visually impaired visitors, or for autistic people who may rely on familiar layouts to find what they need quickly, comfortably and without distress.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Not all visitors will know where to collect their bags after screening. Checking in with them and providing this information can be helpful.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If a visitor has medication in their bag, be aware that some medicines are light-sensitive or should not be handled by others. Do not remove medication from its container unless the visitor has agreed and it is genuinely required for safe entry.<\/p>\n\n\n\n<h4 class=\"wp-block-ace-heading\">Staff co-ordination<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">Security teams and front-of-house staff should collaborate to deliver a consistent and respectful approach to access. External contractors and venue staff must share a common understanding of disability inclusion, with clear policies and roles established in advance. Good communication between teams creates a smoother experience for visitors.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Access facilities, such as viewing platforms, priority queues, or reserved seating, are typically managed by the venue team. Security staff should assist without acting as gatekeepers. Access must not be granted or denied based on assumptions about someone\u2019s appearance or perceived needs.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Staff managing doors to event spaces should be familiar with the re-entry policies, particularly how to recognise when these relate to an access need. Ideally, access-related re-entry should be arranged in advance. If not, it must be handled respectfully and discreetly. If someone requests re-entry for access reasons, no further details are needed beyond a simple confirmation.
